Consent and Screenshots in Professional Community Engagement
Short answer: Before capturing or reusing an identifiable response, obtain clear permission for the intended use and record that permission with the minimum information required.
Ask before capturing
- Explain what will be captured, why it is useful, who will review it, and where it may appear.
Protect the participant
- Crop or redact unrelated names, profile details, notifications, and personal health information.
- Use a de-identified text summary when the image itself is unnecessary.
Record responsible use
- Document the date, permission status, intended use, and any limits the participant requested.
- Escalate uncertain privacy or publication situations through the approved review pathway.
Can an intern paste a screenshot into the working record?
A screenshot can enter the approved record when permission and purpose are clear, unrelated information is removed, and the record follows the applicable privacy workflow.
