How to Write a Professional Working-Group Session Summary

Short answer: A professional session summary records the purpose, participants by approved role, major themes, confirmed decisions, action items, owners, timeframes, unresolved questions, and matters requiring escalation.

Record the purpose and themes

  • Begin with the session purpose and date.
  • Use neutral language and separate participant suggestions from confirmed decisions.

Make action items usable

  • For each action, record the responsible owner and a realistic timeframe.
  • Record permissions when a quotation, screenshot, story, or identifying detail may be used.

Prepare the next handoff

  • Name the next meeting or communication step.
  • Add an escalation section for substantive clinical, safety, legal, partnership, conflict, media, or governance matters.

What belongs in every session summary?

Include purpose, major themes, confirmed decisions, action items, owners, timeframes, permissions, unresolved questions, and matters requiring leadership review.
